Refund Policy for the Kin Club of Orleans & District

 

Effective Date:  January 1, 2024

 

At Kin Club of Orleans & District, we are committed to organizing events, fund raising and community partnerships to support our charitable mission. We understand that sometimes circumstances change, and participants may need to request a refund. This Refund Policy outlines the procedures and guidelines for requesting and processing refunds for our programs.

1. Refund Eligibility:

1.1 Registration Fee Refunds:

  • Registration fees are eligible for a full refund if the participant cancels their registration in writing (via email or written letter) at least 20 days before the event or program.

  • Refund requests received after the specified deadline may not be eligible for a full refund and will be subject to review by our event, program or tournament committee.

1.2 Event Cancellation:

  • When you purchase a ticket for any of our events, tournaments or programs, you understand as a purchaser that the ultimate goal of a ticket purchase is to support the charitable mission of the Kin Club of Orleans & District.

  • In the case where we cancel all or part of any event or program, for reasons within the Club’s control, participants will be entitled to a full refund of their registration fees.

  • In the case where we cancel all or part of any event or program, for reasons not in the Club’s control, participants will be entitled to consideration for a refund of part, or all, their registration fees. This refund will be determined by the Club Executive, in the best interests of all participants, but also mindful of our charitable mission. The refund policy will be established and posted on our website within 5 days of the event or program cancellation. Refunds will be made by request to the Club, according to the refund request procedure. Any requests not received by the Club within 60 days will be considered forfeited.

 

1.3 Extenuating Circumstances:

  • Refund requests due to extenuating circumstances (e.g., medical emergencies) will be considered on a case-by-case basis, and we may require documentation to support the request.

2. Refund Request Procedure:

  • To request a refund, participants must send an email to their representative member, or kincluborleans@gmail.com or by a written letter to the Club at 2511 Page Rd., Orleans, On.  K1W 1E5 with the following information:

  • Participant's full name

  • Event, Program or Tournament date

  • Reason for the refund request

  • Any supporting documentation (if applicable)

3. Refund Processing:

  • Refund requests will be reviewed by the Kin Club of Orleans & District executive.

  • Approved refunds will be processed within 30 business days from the date of approval.

  • Refunds may be issued using the same payment method used for registration (e.g., credit card refund for online payments), or by cheque, at the Club’s discretion.

  • In cases where the event or program is postponed rather than cancelled, participants will have the option to receive a refund or transfer their registration to the rescheduled date.

4. Non-Refundable Situations:

  • We do not provide refunds in the following situations:

  • No-shows on the day of the event, program or tournament.

  • Disqualification from the events, programs or tournaments due to rule violations or misconduct.

By participating in our events and programs, you agree to abide by and accept the terms of this refund policy. Kin Club of Orleans & District reserves the right to update or modify this policy as needed, and any changes will be communicated to participants in a timely manner. If you purchase a ticket for our events and programs, we will make every effort to advise you of this policy. In the event that these efforts fail, this policy will still stand to govern any refund requests.
